New Referral Notification Settings

When a new referral lands on your Admission Dashboard, you will be notified of the event. These notifications are controlled on the Communication Preferences page, to which you may navigate by clicking 'Edit Provider Profile' in the menu. This will reveal a subset of options, from which you want to select 'Communication Preferences'. 

On the Communication Preferences page, there are 4 main fields: 'Email', 'Cell Phone', 'Landline', and 'Fax'. Currently, only one field is optional which is the 'Cell Phone' field. We disabled the functionality of the 'Landline' field. So don't worry, you won't get any robots calling you now! 

An important note: These fields control new referral notifications on the Admission Dashboard level, not the user level. What we mean by this is that if you have multiple users accessing the Admission Dashboard, those users aren't able to individually set their notification settings. Rather, all users have to ensure that their correct contact information is present on this page. Due to this, if one user enters a cell phone, only that cell phone will receive text messages. All other forms of communication will be delayed, as discussed below.

Contacting Process

If at least one cell phone is entered, then AIDA will send the following notifications:

  1. TEXT message to the numbers listed in the 'Cell Phone' field as soon as a referral lands on your Admission Dashboard
  2. EMAIL to the email addresses listed in the 'Email' field 5 minutes after the initial text message
  3. TEXT message to the numbers listed in the 'Cell Phone' field 1 hour after AIDA sent the email
  4. FAX to the numbers listed in the 'Fax' field 24 hours after AIDA sent the second text message

If no cell phone is entered, then AIDA will send the following notifications:

  1. EMAIL to the email addresses listed in the 'Email' field as soon as the referral lands on your Admission Dashboard
  2. FAX to the numbers listed in the 'Fax' field 24 hours after AIDA sent the email notification

In either scenario, AIDA will not send any further notifications about that specific referral after sending the FAX.

You can stop this process at any time by responding to the referral with one of the three responses: 'Accept', 'Interested', or 'Decline'.

No Response / Declined 

If you do not respond to the referral within 72 hours, AIDA will notify the Discharge Planner there was "No Response / Declined" status and AIDA will automatically move the referral to your 'Declined' tab. You may update your response to this referral at any time as long as the referral is still in an active state.

Lastly, after responding to the referral all other notifications about that particular referral will be defined by the Assignment feature.
